Freelancer vs Virtual Assistant: What's the Difference?
Last updated . Every number on this page was checked October 2, 2026.
A freelancer takes on a set project and is done when it's delivered. A virtual assistant handles ongoing tasks, week after week. So freelancer vs virtual assistant is project help next to ongoing help: the two differ on scope, on how long the work lasts, on billing, and on who manages the work. Either one can be a contractor or an employee, and two tests decide which: the IRS's and the Texas Workforce Commission's.
This page is a plain reading of the rules. It isn't legal or tax advice.
What is the difference between a freelancer and a virtual assistant?
The difference between a freelancer and a virtual assistant is the shape of the work: a freelancer takes on one project with a set result, and a virtual assistant handles ongoing tasks with no end date. A freelancer's job has a finish, such as a logo, a set of web pages or an edited video. A virtual assistant's job keeps going: the inbox, the calendar, the weekly updates.
| Freelancer | Virtual assistant | |
|---|---|---|
| Scope | One project with a set result | Ongoing tasks, which can be of several kinds |
| How long | Until the project is delivered | Week after week, until you end it |
| Billing | By the project or by the hour | By the hour, or a set amount each month |
| Who manages the work | You brief the project and review the result | You assign and check each task, or a service's manager does |
| Fits when | The work is one job with a clear finish | The work repeats and has no end date |
| Tax status | Contractor or employee. The tests decide, not the title | Contractor or employee. The tests decide, not the title |
That's how this page uses the two words. Some people work both ways, so ask how a person likes to work before you start.

When does a freelancer fit better?
A freelancer fits better when the work is one project, it takes a skill you don't have, and you can say what "done" looks like.
Signs that point to a freelancer:
- The job has a clear finish, such as a logo or five website pages
- It takes a specialist's skill
- You can write the brief in one sitting
- You won't need the same help next month
Before the work starts, put four things in writing: the result, the due date, the price, and how many rounds of changes the price covers.
When does a virtual assistant fit better?
A virtual assistant fits better when the work repeats and has no end date.
Signs that point to a virtual assistant:
- The tasks come back every week
- You can write down the steps for each one
- The tasks are of several kinds, and none takes a specialist
- You have time each week to assign work and check it
Put this set in writing too: the tasks, the hours or the monthly amount, how you'll send work, and how either of you can end it.

The next table sorts six sample jobs. It's this page's own plain guide, so use it to sort your list, not to settle it.
| The job | Fits | Why |
|---|---|---|
| A new logo | A freelancer | One result, and then it's done |
| Five new pages for your website | A freelancer | A set scope and a finish line |
| A one-time cleanup of your contact list | A freelancer | It has an end, even though the steps are simple |
| Your inbox and calendar, every day | A virtual assistant | It never ends, and it follows your rules |
| Sending invoices each month and following up on late ones | A virtual assistant | The same steps on a schedule |
| Weekly videos that need an editor, a designer and a web update | Neither one alone | It's ongoing, and it takes several trained skills |
The last row is the case where neither one fits. When the work is ongoing and it takes several specialist skills, you'd need a string of specialists, and you'd manage each one yourself.
One agency owner's story shows that case. Sidecar Marketing Solutions is a marketing agency that opened in 2012. Before DeskTeam360, its specialist work went to a mix of contractors, and to the founder the setup felt cut off and siloed. The founder started with DeskTeam360 in January 2023. The team mostly builds web pages and page sections for the agency's clients.

Is a freelancer or a virtual assistant an independent contractor?
A freelancer or a virtual assistant can be an independent contractor or an employee. The word you use for the person doesn't settle it. The Texas Workforce Commission's Form C-8 says that when an employment relationship exists, calling the worker something different, such as contract labor or independent contractor, doesn't change it.
Working from somewhere else doesn't settle it either. Under the IRS's common-law rules, a remote worker is your employee if you can control what will be done and how it will be done.
The IRS and the Texas Workforce Commission each have a test for who counts as a contractor. The Texas Workforce Commission says getting it wrong can lead to increased taxes, penalties and interest charges. To see what changes with each status, read independent contractor vs employee.
Not legal or tax advice. Ask your accountant.
